This is the fifth edition of the PeopleSoft/BroncoDirect Newsletter in its second academic year.

Fall Registration Now in May

It has been a busy 2008 with various student enrollment initiatives. The most visible is the move of fall registration to May. This shift resulted from a 2007 student survey with an overwhelming 90 percent of survey responses indicating support for the transition. More than two-thirds of respondents said earlier registration would increase their likelihood of returning to our university next fall. Other advantages include completing advising and registration during the spring.  Fall registration begins on May 16 for continuing students.  There will be a schedule adjustment period in August, after incoming students have had a chance to register during orientation.  For more information on fall 2008 registration, see http://dsa.csupomona.edu/fall2008/.

Waitlisting

The PeopleSoft team is ready to implement this much-anticipated feature during registration in late October for the winter 2009 term. This feature will allow students to place their names on the waitlist for a class that has reached enrollment capacity. If enrollment for the class drops, the new process will automatically enroll waitlisted students if they meet enrollment requirements. Stay tuned for more information regarding this popular feature.

Password Changes for PeopleSoft users

This important security project was launched in April.  PeopleSoft users with access to highly confidential data were notified that they must change their PeopleSoft passwords every 100 days. PeopleSoft Finance module users were the first employees to be included in the new requirement in early April with Human Resources/Student Administration module users following in late April.   The project does not require all PeopleSoft/BroncoDirect users to change their passwords regularly, and all those required to change have been notified. 

Student password changes

Speaking of passwords, the big password project of the season is the requirement for all students to have secure BroncoPasswords. We introduced this in early spring to a pilot group of 4,414 students. After determining that most students made the change easily, President Ortiz and his cabinet decided to move forward with completing the password change for all students by the end of spring quarter. I&IT worked with Student Affairs, the Poly Post, Associated Students, Inc., Administrative Affairs, University Advancement and Academic Affairs on an extensive information campaign to convince students to change to secure passwords. As of early May, nearly half of all students had changed their passwords.  Registration holds are used to gain compliance with this requirement.  Students can change their own passwords, or receive assistance from the Cal Poly Help Desk if they need it.  Holds are automatically removed every hour for students who have changed their passwords.  The Cal Poly Help Desk can remove holds manually for students who change their passwords and have imminent registration appointments.

Get Connect-ED

By now, you have heard about Cal Poly Pomona’s new Safety Alert System provided through Connect-ED. On May 2, the campus conducted its first test of the application by sending test alert notices to more than 23,000 students, faculty and staff. A task force is reviewing test results to develop how to improve the information we are loading into PeopleSoft. To get the most accurate information into the Safety Alert System, log into BroncoDirect and update your phone information so campus personnel can properly notify you during an emergency. If you provide a cell phone (using the CELLULAR phone type), the Safety Alert System will send a text message to you during the emergency. Data Warehouse Update

We continue to add reports to our Data Warehouse repository. We now have several reports available, including Academic Standing, Active Student, Admissions Applicant Details, Class Schedule, Deans List, Degrees Awarded, Grade Distribution, Orientation, Student Employment Eligibility and Demand Reports. All are available in pdf-file format or as an Excel spreadsheet to allow users to easily filter, search and retrieve data. We have published the Report Library, which briefly describes each precompiled report and contains information about scheduling and retention. Another Data Warehouse feature is the Data Dictionary, which provides details on specific data fields and elements. If those reports are not enough for users, we have provided a feature to request new reports. The reports and the Data Dictionary, Library and Request New Reports options are all part of a user-friendly, web-based tool we have provided to allow users to obtain data.
