Student assistants may not begin work until they have completed the required payroll documentation with the Customer Service Center for Human Resources & Payroll Services.
Student Assistant
In order to complete the payroll documentation and sign-up process, student assistants must:
- Present a Student Employment Job Offer Form or a FWS Employment Agreement that has been completed and signed by the employing department.
- Provide documents that satisfy the I-9 requirements and an original social security card.
Hiring Department
In order to complete the student sign up process and get your student paid, the hiring department must follow these steps:
- Verify that your student meets all the student assistant eligibility requirements. Your student will not be paid as a student assistant if all eligibility requirements are not met.
- Verify that your student assistant has completed the required payroll documentation. All students who turn in a job offer or employment agreement are given a receipt indicating that they have completed the required documentation.
- When submitting time for your student assistant, please make sure that the name and Bronco number are correct. You may obtain this information from his/her job offer or employment agreement.
- Submit the Student Attendance Report (CD048) to Payroll Services on time. CD048's submitted after the due date cannot be processed in time for the scheduled student payday. Make sure the Dept/Unit, PeopleSoft Position, Job Code and pay period have been completed. CD048's that contain incomplete or incorrect information will be returned to the department.
- Do not submit time vouchers for work study student assistants to Payroll Services. Time vouchers along with the CD048"s are required for work-study student assistants and are submitted to the Office of Financial Aid.
- Payroll Services will only accept CD048's signed with an authorized signature. A signature authorization form which indicates who is authorized to sign the CD048's must be on file in Payroll Services.
- Refer to the Schedule of Student Assistant and Bridge Student Assistant Pay Periods located on the Payroll Services website for the begin and end dates of the pay periods, due dates of the CD048's, dates for payday and the maximum number of hours that students are allowed to work.
- Submit any required memos. Student assistants who are allowed to work with a low GPA or who exceed the maximum number of hours allowed must have Vice Presidential (or designee) approval.
