The Downtown Center is a collaborative university-community partnership that provides a forum to bring education and applied knowledge to downtown Pomona .
The Downtown Center Coordinator provides clerical and technical support for a full range of projects and activities occurring at the Downtown Center (DTC) and for the Community Outreach Program Administrator; receives and prepares proposals for facilities use; completes booking documents and ensures that all event proposals are signed and funds are collected; maintains inventory of supplies; arranges meetings and receptions and serves as host; maintains and reconciles petty cash fund; develops and distributes publicity information; staffs community fairs and events; prepares price list for gallery shows; drafts artist biographies; programs and operates light and sound equipment. The incumbent prepares student rosters; receives and deposits program/class payments and prepares announcements of upcoming classes. The incumbent ensures the maintenance, safety, cleanliness, and operation of the entire DTC facility; monitors proper usage of computer lab; provides building maintenance such as replacing light bulbs and weather-stripping and graffiti removal; processes purchase requisitions; obtains maintenance quotes and approves invoices for various facility services; programs, maintains, and operates the sound mixing board, light board, speakers, microphones, stage equipment, TVs, DVD players, and VCRs; ensures routine repairs and proper storage of equipment; observes all safety codes and instructs others in the safe operation of all equipment. The Downtown Center Coordinator ensures proper staffing and books and leads tours of the facility; greets and interacts with visitors; maintains the DTC's calendar of events; posts student assistant positions, arranges interviews, recommends for hire, processes hiring documents and oversees student assistants; creates student work schedules and confirms and processes payroll; oversees student assists who will paint, spackle, and hang lights; assists with installation of art exhibits; assists in communication with artists and with the volunteer program; receives gallery exhibit proposals and prepares for approval; prepares artist statements and handouts; coordinates sale of artwork, processes payments and reconciles sales for exhibits; assists with exhibit installation and removal and performs other duties as assigned.
High School diploma or its equivalent. Four years of progressively responsible experience in general office clerical or secretarial work or the equivalent. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation and spelling. Thorough knowledge of office systems and ability to use broader range of technology, systems, and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broader range of interpersonal contacts including those at a higher level and those sensitive in nature.
A Bachelor's Degree in education, English, social sciences, theatre, or art. Experience working with community, youth, and social service agencies. The ability to speak Spanish and translate written materials into Spanish.
