Startup and Settings (Get Your Email Account Up and Running)

Q. How do I get my email?

A. Most Exchange users will access the Exchange server via Outlook Web Access (OWA). OWA uses the proprietary Microsoft protocol to let you view emails and work with your calendar on the Exchange server. (Note: the language settings on your Internet browser must have English (United States) set as the first language. If you have specified a different language, move the English language to the top of the list by clicking the “Move Up” button.)

You can also access your email via an email client. An email client is a front end computer program that allows you to read and send email. For instructions on setting up a number of popular clients, including Outlook and Entourage, see Getting to your email: client setup guides. Q. How do I forward my Cal Poly Pomona email to a different email address?

A. To forward your Cal Poly Pomona email to a different email address, follow the steps below:

  1. Go to My Control Panel (link opens in a new window).
  2. You will be prompted for your BroncoName and BroncoPassword.
  3. Select the "Mail" tab.
  4. The mail forwarding option is in the top part of the page. If you do not want your mail stored on the Exchange server, check the box "Forward your mail to..." and fill in the email address.
  5. Then click on the "Change Forwarding" button.

 

Q. What is my Cal Poly email address and/or password? Can I get this information over the phone or by email?

A. You can find your BroncoName from this web site:

http://www.csupomona.edu/cgi-bin/intranet/ldap_search.pl (link opens in a new window).

Note: For the search parameters for People Search, select "exact match" and type your name as one word with an asterisk between your first and last name (e.g.: Billy*Bronco).

If you have forgotten your BroncoPassword, you may be able to reset your password yourself.

If your BroncoName and BroncoPassword combination do not work, submit a Help Desk ticket or stop by the I&IT Help Desk with your Bronco Access Card or another photo ID so we can better assist you. The I&IT Help Desk is located in Building 1, Room 100. It is open Monday - Thursday, 7:30 AM - 6:00 PM and Friday, 8:00 AM - 5:00 PM (excluding state holidays).

 

Q. How do I change my BroncoPassword?

A. To change your BroncoPassword, follow the steps below:

  1. Go to My Control Panel (link opens in a new window).
  2. Enter your BroncoName and BroncoPassword.
  3. Select the "Accounts" tab.
  4. The first item is "Change BroncoPassword".
  5. Enter your existing password and the new password twice in the spaces provided.

    Note: The password must follow the password complexity requirements.

  6. After entering the passwords in the spaces provided, click on the "Change BroncoPassword" button.

Q. I forgot my BroncoPassword. How do I reset it?

A. The BroncoPassword Self-Reset site enables you to reset your password online. In order to use this feature you must configure your account with password reset questions.

You can set up these questions here:

If you forget your password:

  1. go to the Self-Reset site at:

    https://www.csupomona.edu/cgi-bin/intranet/pwreset.pl.

  2. Enter your user name and click “Reset Password”.
  3. You will be prompted for the answers to the challenge questions you set up and you will be prompted for a new password. Answer the questions correctly and your password will be reset.

    Note: Your answers must match the case that you typed in when you first set up the questions. That is, they are case sensitive: if you typed your favorite color as "red," for example, "Red" as an answer would fail.

Q. How do I set up a group mailbox?

A. To set up and access a group mailbox, the user must be a member of the group and must have added the group in the “group mailboxes” option on the Internet Services User Status page.

First time setup must be accomplished on each email client that requires access to the Exchange group mailbox.

Email Account Management

Q. I cannot receive any more email as I have exceeded my disk quota. What can I do to rectify this situation?

A. Email messages aren’t actually deleted until you empty the Trash or Deleted Items folder. To make more space available, delete any items that you are no longer using. Items in all of your mailbox folders including the Deleted Items and Sent Items folders count against your size limit. You must empty the Deleted Items folder after deleting items or the space will not be freed.

If you're still having email disk quota issues, submit a Help Desk ticket to the I&IT Help Desk to resolve this issue.

 

Q. I can log into my email account, but there are no messages in the inbox. Is there something wrong with my email account?

A. More than likely you are receiving your email. However, it might be forwarded to some other email address. If you are using the campus Exchange server, try checking your email from https://exchange.csupomona.edu.

If you are faculty or staff in the College of Business, you might want to try checking your email from http://mail.bus.csupomona.edu.

 

Q. How can I view portions of the Cal Poly Pomona global, email address book without viewing all 25,000 entries in Outlook?

A. In Outlook's Address Book, the default distribution list is the Global Address List. By default, the Global Address List shows more than 25,000 names of students, faculty and staff. However, you can limit this to "All Faculty and Staff," "All Foundation," "All Students" or other limits.

In the upper right-hand corner of the Address Book, in the "Show Names from the:" drop-down menu, change Global Address List to one of the limits shown.

For example, to show only entries for faculty and staff:

  1. Open the address book by clicking on the Address Book icon on the Outlook toolbar, or selecting Tools > Address Book.
  2. In the Address Book window, click on Tools > Options.
  3. Under the heading "Show this address list first:", select "All Faculty and Staff" from the drop-down list.
  4. Click "OK" and close the address book.

    Note: From this point on, your address book will automatically be configured to the "All Faculty and Staff" list. If you start typing a name or if you use the find feature, it will only search the list of faculty and staff.

Sending and Receiving Messages

Q. How do I get my email while traveling?

A. You can connect off campus in one of two ways:

  1. To check your email using a web browser, go to the web page:

    https://exchange.csupomona.edu

    Note: the language settings on your Internet browser must have English (United States) set as the first language. If you have specified a different language, move the English language to the top of the list by clicking the “Move Up” button.

  2. Cal Poly Pomona faculty, staff and students may need to use a VPN (Virtual Private Network) to access certain information technology resources when away from campus. The VPN provides a secure connection from your computer off campus, through the Internet, to the network and information resources at Cal Poly Pomona.

 

Q. How do I automatically reply to messages while out of the office?

A. Follow the steps below to automatically reply to messages while out of the office:

  1. Go to My Control Panel (link opens in a new window).
  2. Enter your BroncoName and BroncoPassword
  3. Click on the "Mail" tab.
  4. Scroll down to "Automatic Reply".
  5. Place a check mark in the "Reply Automatically" box.
  6. Select an interval.
  7. In the box provided, enter the message you want people to receive while you are out of the office.
  8. Click on the "Change Auto Reply" button.
  9. When you return to your office, you will need to follow the same steps except you will uncheck the box next to "Reply Automatically", and click on the "Mail Forwarding" button. You do not need to remove the message.

Note: Changes made take approximately 15 minutes to take affect.

 

Q. How do I set up a group mailbox?

A. To set up and access a group mailbox, the user must be a member of the group and must have added the group in the “group mailboxes” option on the Internet Services User Status page.

First time setup must be accomplished on each email client that requires access to the Exchange group mailbox.

Q. How do I set up a mailing list?

Q. How can I add a member to a manually populated group?

A. Add a member to a manually populated group by following the steps below:

  1. You must be the administrator of the group in question to perform the following tasks.
  2. Go to http://www.csupomona.edu/intranet/services.
  3. Click on the Group Status and Configuration
  4. Enter the group name and click on configure.
  5. Enter your BroncoName and BroncoPassword.
  6. Scroll down to Members.
  7. Enter the BroncoNames in the space provided.
  8. Click the Members button to set the changes.

Note: You may also unsubscribe members.

 

Q. How do I send email from Blackboard?

A. Instructors can send email to individuals who participate in a particular course or organization from the Send Email page. Emails can be sent to individual users or to groups of users within the course. Students can also use this tool to send email to the class or to individuals in the class (based on how the instructor set up the email privileges in the Course Options > Manage Tools section). Q. How do I schedule a conference room in Outlook and/or Exchange?

A. Once a conference room account has been created and configured with the appropriate permissions by your college/department technician, you may begin using the resource as designed. There are two primary methods in accessing an Exchange calendar. You may directly open the conference room calendar or invite the conference room account as a resource when creating a meeting request.

You may access a conference room resource via Outlook or through OWA (https://exchange.csupomona.edu). Please consult your college or department technician if you would like assistance in accessing a conference room calendar via OWA.

Q. How do I set up a group mailbox?

Email Security and Privacy

Q. How can I control the amount of spam I receive?

A. Spam can be controlled at three levels:

  1. Mail server
  2. Your email client program
  3. A separate program that integrates with your email client

Cal Poly Pomona offers a spam identification service for all faculty, staff and students. To learn more about controlling spam, including configuring your email client to manage spam, see Managing Email Spam.

 

Q. How can I prevent, scan and clean an email virus infection?

A. Viruses, worms and trojans can spread and infect computers in a number of different ways - through email messages, word documents or even simply through an Internet connection. All Cal Poly Pomona email messages and attachments are scanned by our email server antivirus software (known as Sophos) before they are delivered to your email account. This significantly reduces our risk of receiving a virus through the email system. However, because new viruses are continually appearing, there are times when a virus may pass through the email system. Consequently, there are steps you can personally take to help prevent such an infection.
